Common Notary Questions and Answers

Frequently asked questions.

Navigating legal documentation can sometimes be intricate. We’re here to answer your questions, provide clarity, and help you feel informed at every step.

What do I need to bring with me?

The specifics depend on the receiving country and their requirements but we will let you know exactly what we need from you when you contact us. This might include:

– The original document/s.
– A valid Photo ID (Passport, Driver’s Licence, Proof of Age Card or Student I-Card from a recognised University or an accredited Government educational institution).
– A valid Address Proof Document (Bank Statements, Utility Invoices or Council Demand Notices).
– The instructions you have received from the overseas destination.

If a document is being signed on behalf of a company, then we may need:
1. A current company extract from ASIC.
2. Evidence that the authorised person has the authority to sign.
3. A Photo Identity Document of the authorised person who is signing on behalf of the Company.

Can documents be notarised electronically?

As convenient as it would be, we cannot notarise documents electronically.

I need something notarised urgently, can I have it done today?
If you have a strict deadline, we will more than likely be able to accommodate you on the same day — even within a matter of hours.

My document has already been signed but this wasn’t witnessed by a Notary Public — can you still notarise it?
No — any document(s) signed in the absence of a Notary Public will not be notarised. We need to ensure the signature is authentic and that the person who signs it is who they say they are.

What are the costs involved?

This depends on what service you need, but all our fees are transparent and governed by The Society of Notaries of Victoria. You are welcome to download the Society of Notaries Scale of Fees to see the full costs associated with your notary service. If you have any questions about this, please don’t hesitate to get in touch.

How long does notarising a document take?

Once you attend our office it usually takes 15 minutes per document depending on the volume of documents. There is preparation that needs to happen before that, but our team coordinates and organises all the necessary paperwork before you arrive and then verifies the certificates once you provide your documents.

What is the difference between a Notary Public and a Justice of the Peace?

A Notary and a Justice of the Peace (JP) have different roles, responsibilities, and powers. A Notary can do everything a JP can, but a JP cannot notarise documents for international purposes.

A Notary must first be a Lawyer and have completed five years of legal practice. They must apply through the Legal Profession Admission Board, be appointed by the Supreme Court, and must complete the prescribed Notarial Practice Course.
